Insure Automation Solutions, Inc. ("Company," "we," "us," or "our") operates the flng platform at flng.ai and related services (the "Service"). This Privacy Policy explains how we collect, use, disclose, and protect personal information.
It is important to understand the two different ways personal information flows through the Service, because our responsibilities differ in each:
When our customers publish forms, end users may submit personal information such as names, email addresses, phone numbers, and any other fields the customer chooses to collect. We also collect technical signals (such as IP address and submission metadata) to filter automated and bot submissions. We process Submission Data only to provide the Service to our customer — hosting the form, filtering automated submissions, storing submissions, and delivering them to the destinations the customer configures (such as HubSpot, CSV download, email, or webhooks). We do not sell Submission Data and do not use it for our own independent purposes.

We do not sell personal information. We share information only as described here:
We are based in the United States, and information may be processed in the United States and other countries that may have different data protection laws than your country. Where we transfer personal data from the EEA, UK, or Switzerland to a country not deemed to provide adequate protection, we use appropriate safeguards such as the European Commission's Standard Contractual Clauses (and the UK Addendum, where applicable). We retain personal information for as long as needed to provide the Service, comply with our legal obligations, resolve disputes, and enforce our agreements.
Submission Data. Because we process Submission Data on behalf of our customers, the customer (as controller) determines how long that data is kept. While a customer's account is active, Submission Data is retained until the customer deletes it or closes the account, and customers can delete individual submissions, bulk-delete data, and (where offered) configure automatic deletion of submissions after a chosen period. After an account is closed or a subscription terminates, we retain Submission Data for a grace period of thirty (30) days to allow export or reactivation, after which it is deleted from our active systems. Residual copies may remain in encrypted backups for up to ninety (90) days before they are purged through routine backup rotation.
Customer responsibility. Customers are responsible for ensuring their own retention and deletion of Submission Data complies with the laws and industry requirements that apply to them (for example, sector-specific record-keeping rules). Our default deletion timelines are platform backstops and do not override a customer's own legal retention obligations while their account is active.
Security and operational logs. Technical data used for fraud prevention, bot and automated-submission filtering, and security (such as IP addresses and submission metadata) is generally retained for a shorter period of up to twelve (12) months, unless a longer period is required to investigate an incident or comply with law.
Account and billing records. We retain account and billing records for as long as your account is active and for a period afterward as needed to meet tax, accounting, and legal obligations.
We use cookies and similar technologies to operate and secure the Service, remember your preferences, keep you logged in, and analyze usage. Some cookies are strictly necessary for the Service to function; others are optional. You can control cookies through your browser settings, and where required by law we obtain consent for non-essential cookies.
If you are in the EEA or UK, you may have the right to access, correct, delete, or restrict processing of your personal information; to object to processing; to data portability; and to withdraw consent. For Submission Data we process on a customer's behalf, we will refer your request to that customer or assist them in responding.
If you are a California resident, you may have the right to know what personal information we collect, use, and disclose; to request deletion or correction; and to opt out of the "sale" or "sharing" of personal information. We do not sell or share personal information as those terms are defined under the CCPA/CPRA. You may also be entitled to non-discrimination for exercising your rights. With respect to Submission Data, we act as a service provider to our customers and process that data only as permitted by our contracts with them.
Residents of certain other U.S. states may have similar rights under their state privacy laws. We honor applicable rights and will respond to verified requests as required by law.
We will verify your identity before fulfilling a rights request and will respond within the time required by applicable law. You may use an authorized agent where permitted.
We use administrative, technical, and physical safeguards designed to protect personal information, including SSL/TLS encryption in transit and access controls. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security. You are responsible for keeping your account credentials confidential.
The Service is intended for business users and is not directed to children. We do not knowingly collect personal information from children under 16. If you believe a child has provided us personal information, contact us and we will take appropriate steps to delete it. Customers are responsible for ensuring their own forms comply with laws relating to minors, including obtaining any required parental consent.
The Service links to and integrates with third-party services (such as HubSpot, Stripe, Zapier, N8N, and AI tools). We are not responsible for the privacy practices of those third parties. We encourage you to review their privacy policies.
We may update this Privacy Policy from time to time. If we make material changes, we will provide notice through the Service or by email and update the effective date above. Your continued use of the Service after changes take effect constitutes acceptance of the updated Policy.
